Position Summary

The Payroll & HRIS Administrator is responsible for the accurate and timely administration of payroll operations and serves as the primary day-to-day owner of payroll processes for U.S. employees. This role manages payroll activities for salaried exempt and non-exempt employees, including executive-level employees, while ensuring accuracy, confidentiality, compliance, and strong partnership with Human Resources and Finance.

In addition to payroll responsibilities, this position provides HR operations and HRIS support, including maintaining employee data, supporting UKG and Paychex administration, generating reports, and assisting with HR processes and projects. The ideal candidate is a detail-oriented and organized professional who can independently and confidentially manage payroll responsibilities while serving as a trusted partner to the HR team.

Key Responsibilities

  • Own and manage the end-to-end U.S. payroll process, ensuring accurate and timely payroll processing.
  • Process payroll changes, including salary updates, bonuses, deductions, benefit changes, and other compensation-related transactions.
  • Maintain payroll records and documentation with a high level of confidentiality.
  • Research and resolve payroll discrepancies and employee questions in a timely manner.
  • Partner with Finance and Human Resources to support payroll reporting, reconciliations, and audits.
  • Ensure payroll taxes are computed accurately and in accordance with applicable state requirements.

UKG / HRIS Administration

  • Serve as the primary day-to-day administrator for UKG payroll, the transition from Paychex, and other HRIS activities.
  • Maintain accurate employee records and ensure data integrity within the HRIS system.
  • Support UKG configuration updates, system improvements, reporting, and troubleshooting.
  • Create and maintain payroll and HR reports to support business needs.
  • Assist with optimization of payroll and HR processes as the organization continues to leverage UKG.
  • Create and maintain detailed employee profiles within the system.

HR Operations Support

  • Support employee lifecycle activities, including onboarding, employee changes, and offboarding.
  • Maintain confidential employee files and HR documentation.
  • Assist with HR reporting, audits, and compliance activities.
  • Provide administrative support to HR leadership, including coordination of HR projects and initiatives.
  • Support continuous improvement efforts to streamline HR operations and employee processes.
  • Perform other duties as assigned.

Qualifications

  • 3+ years of payroll administration experience.
  • Experience processing U.S. payroll.
  • Experience managing payroll transactions for salaried exempt employees.
  • Experience managing payroll transactions for salaried non-exempt employees.
  • Experience working with HRIS or payroll systems.
  • Strong attention to detail and commitment to payroll accuracy.
  • Ability to manage confidential employee and compensation information.
  • Strong organizational, analytical, and problem-solving skills.
  • Proficiency with Microsoft Excel and payroll reporting.
  • Knowledge of employment taxation requirements imposed by various states.

Preferred Qualifications

  • Experience with UKG Pro, UKG Ready, or similar HRIS/payroll platforms.
  • Experience supporting HR operations in addition to payroll.
  • Payroll certification preferred.
  • Experience supporting executive payroll processes.

Essential Functions

  • Execute and manage end-to-end U.S. payroll processing with a high degree of accuracy and timeliness.
  • Maintain and audit payroll data, ensuring compliance with internal controls and applicable regulations.
  • Assist with and back up hourly payroll processing; perform periodic audits as requested by the Director of Human Resources to support compliance and internal controls.
  • Serve as the primary administrator for UKG, including employee data maintenance, system updates, reporting, and troubleshooting.
  • Process employee transactions, including hires, terminations, compensation changes, and benefit updates.
  • Generate and analyze payroll and HR reports to support Human Resources and Finance decision-making.
  • Respond to employee payroll inquiries and resolve discrepancies in a professional and timely manner.
  • Maintain strict confidentiality of employee and compensation data.
  • Support HR operations, including onboarding, offboarding, recordkeeping, and compliance activities.
  • Partner cross-functionally with Human Resources, Finance, and leadership to ensure alignment and accuracy of payroll and HR data.
  • Support audits, system implementations including the UKG transition, and process improvement initiatives.
  • Perform other duties as assigned to support HR and payroll operations.
